Cancellation Policy

• Registration charges are non-refundable and non-transferable.

• Cancellation within 7 days before the trip start date: 100% of the total tour package amount will be charged as cancellation fees.

• Cancellation 8–15 days before the trip start date: 50% of the total tour package amount will be charged as cancellation fees.

• Cancellation 16–30 days before the trip start date: 25% of the total tour package amount will be charged as cancellation fees.

• In the event of unforeseen weather conditions, natural disasters, or government restrictions, certain activities may be cancelled. We will make every effort to arrange an alternative feasible activity; however, no refund will be applicable in such cases.

• In case of any approved refund, a credit shell will be issued instead, which can be redeemed for any future trip within 365 days of issuance.

Terms & Conditions

• Full Payment: The full payment for the trip must be made before the first day of the journey. Failure to clear pending payments may lead to cancellation of the booking without any refund.

• Check-In Policy: Standard hotel check-in time is 01:00 PM. Early check-in is subject to availability. Your cooperation is appreciated.

• Transportation: Transportation will be provided strictly as per the itinerary and will not be at your disposal. Please note that air-conditioning will not operate in hilly areas.

• Package Rates: Package rates are subject to change without prior notice due to factors such as force majeure events, strikes, fairs, festivals, weather conditions, traffic delays, overbooking, flight cancellations/rerouting, or government restrictions. While every effort will be made to arrange suitable alternatives, no refund or compensation will be applicable in such situations.

• Company Rights:

  • The company reserves the right to cancel bookings even after payment acceptance without assigning any reason. In such cases, the full amount will be refunded.

  • The company also reserves the right to dismiss any guest from the tour for misbehaviour, misconduct, or assault (verbal/physical) towards the Tour Manager or fellow travellers. No refund will be provided in such cases.

  • The company may change hotels or modify the itinerary due to unavoidable circumstances.

• Traveller Responsibility:

  • Once registration is completed, bookings cannot be cancelled, transferred, or exchanged.

  • Travellers are responsible for their own conduct, belongings, and safety during the trip.

  • In case of vehicle breakdown, travelers are expected to wait for repairs or an alternate arrangement.

  • If a 4x4 vehicle is required due to heavy snow or road blockage, additional charges will apply.

  • The company shall not be liable for theft, loss, injury, or illegal activities (e.g., carrying banned substances or engaging in unlawful acts).

• Code of Conduct:

  • Any act of misconduct, indiscipline, or antisocial behaviour will not be tolerated.

  • The company aims to provide a safe, respectful, and enjoyable experience for all participants.

  • Smoking and drinking are strictly prohibited inside the vehicle.

  • Any form of misbehaviour may result in immediate termination from the trip without refund, at the discretion of the Trip Manager.

• Luggage & Belongings: Travellers must take care of their personal belongings. The management will not be held responsible for any loss or theft during the tour.

• Departure Timings: The departure time is fixed and must be strictly followed. Travellers are expected to keep their Trip Manager informed of their status. Anyone missing the bus or reporting late will not be eligible for a refund. The team will make two reminder calls before departure.

• Virtual Trip Manager: A Virtual Travel Manager will be assigned to assist and coordinate during the trip.

• Photography Consent: Ghumify Trip reserves the right to capture photographs or videos of participants during the tour for promotional purposes. Participants who do not wish to appear in promotional materials must inform the Trip Manager at the start of the journey.

• Misconduct Termination Clause: The company reserves the right to terminate any participant for engaging in misconduct, illegal activities, or actions disrespectful to others. In such cases, a refund will be provided only for the unused portion of the trip.

• Meal Stops: For Volvo bus journeys, meal halts (lunch/dinner) are predefined by the vendor and cannot be altered for individual preferences.
